  • Risk Management Policy


    The Port Moody Soccer club is a non-profit organization that is run entirely by volunteers. The club could not operate without the efforts of the approximately 250 volunteers who donate their time and expertise as coaches, assistant coaches, managers and team moms. These people provide a valuable community service to the kids enrolled in our club, for which they should be commended. However, as with any organization that deals with children, it is imperative that the club takes steps to exclude from participation in Port Moody Soccer Club activities, all persons who pose a risk to the safety of our players, or other coaches, administrators and volunteers. In accordance, the Port Moody Soccer Club has adopted an internal Risk Management Policy which requires every volunteer providing direct supervision of players to submit a Criminal Record Check every 3 years. Please see below for instructions on how to complete the CRC process.

    It is the responsibility of every volunteer who wishes to perform the duties of coach, assistant coach or team manager to ensure that the risk management policy be completed prior to starting these duties. Criminal Record Checks are considered valid for 3 years and volunteers must ensure they have a valid CRC on file with our Risk Management Coordinator at the start of each season or tryout period. Completed Criminal Record Check results must be forwarded to the club's Risk Management Coordinator at the address below:

    Obtaining a Criminal Record Check

    Two Options available....


    • Option 1: Online CRC Submission

      The Port Moody Soccer Club has recently applied and been approved to have its volunteers submit their Criminal Record Check (CRC) online through the BC Ministry of Justice Online Criminal Record Check Review Program. As part of this process, we have signed and agreed to the terms and conditions for the CRRP Applicant Based Online Service to facilitate criminal record checks and sharing of completed criminal record checks.

      The access code provided below is unique to our club. This code will be required when submitting an online request:

      The results of the criminal record check will be sent to the Port Moody Soccer Club's Risk Management Coordinator contact person via e-mail. If you have any questions about this process, please contact the Risk Management Coordinator.

    • Option 2: Submit your CRC in-person

      The following instructions include general comments that pertain to all volunteers as well as specific instructions that apply to residents of Port Moody:

      Criminal Record Checks can only be executed by the police establishment that has jurisdiction in the community where the applicant resides.

      For residents of Port Moody, this is the Port Moody Police Department located at 3051 St. Johns Street, Port Moody (south side across from the Petro Canada gas station).

      For residents of Anmore, Belcarra, Coquitlam or Port Coquitlam, this is the Coquitlam RCMP, either the main detachment located at 2986 Guildford Way, Coquitlam or one of the 4 Community Police Stations.

      More information on the police department criminal record check policies can be obtained at the following websites:

      Each police force has its own form(s) and you have to make sure you use the correct ones. There may actually be two forms that you have to fill out; one for a general Request and Consent for Police Record Search and Disclosure and a second one for a specific Request and Consent for Criminal Record Search for Sexual Offenses for which a pardon may have been granted. For residents of Port Moody, the request form must be filled out in person at the Police Department and can not be downloaded or picked up in advance. The Coquitlam RCMP form may be downloaded from the website noted above.

      Complete all forms carefully. In some jurisdictions there may be a section in which you sign to give authorization for the police to disclose the information to the club. It is very important to ensure that the correct contact and address shown above is provided in this section. For residents of Port Moody, the Police Department will only release the results to the applicant - you must then forward it to the club.

      In addition to the form(s) noted above, most police departments, including Port Moody, require a letter from the volunteer organization authorizing the request for the Criminal Record Check. Click here to obtain a copy of a cover letter as a Word document. Please note that the form letter must be personalized. Please replace the blank line with your full name before printing out the letter.

      The form(s) and letter can not be mailed in or dropped off by a spouse of friend. When submitting the form(s) you must bring them to the detachment in person and present a valid picture ID. This is a safeguard to ensure that unauthorized persons do not access your personal information. For residents of Port Moody two pieces of identification are required.

      Make sure you go to the correct location and take note of the hours of operation for this particular activity. As this is a clerical activity the hours are generally normal business hours. The Port Moody Police Department located at 3051 St. Johns Street, Port Moody is open between the hours of 8:00 am and 8:00 pm Monday to Friday.

      The Coquitlam RCMP main detachment located at 2986 Guilford Way, Coquitlam is open Monday to Friday 8 a.m. to 8 p.m., Saturdays 8 a.m. to 4 p.m. and Sundays/holidays 10 a.m. to 4 p.m.

      NOTE: Recently most police departments, including the Port Moody Police Department, stopped forwarding the results to the club directly. Instead, they are contacting the person applying for the criminal record check and asking them to come and pick up the results in person. Note that once again it must be done in person and have your photo ID available. In this case it is your responsibility to forward the results in an unaltered form in a sealed envelope to the address provided above. The CRC contains personal information and should not be given to any other club official or volunteer or left unsealed.

      Some jurisdictions are now requiring finger-printing. For residents of Port Moody this is only required if you are unfortunate enough to have the same birth date as a registered sex offender.

      Some police departments do charge a fee for processing a Criminal Record Check. The Port Moody Police Department has waived this fee for people volunteering for youth oriented organizations like the Port Moody Soccer Club. If you are asked to pay for this service in any other jurisdiction, please pay the fee and submit a copy of the receipt showing payment with your completed Criminal Record Check and the Port Moody Soccer Club will reimburse you.
